Spokesperson and Media Policy
I. Purpose
This policy establishes who may speak on behalf of PROVENIQ Foundation, Inc. and governs public communications, media interactions, and social media activity by Directors, Officers, employees, volunteers, and contractors.
II. Authorized Spokespersons
The following individuals are authorized to make official public statements on behalf of the Corporation: the Chief Executive Officer, the Board Chair, and any individual specifically designated in writing by the CEO or Board Chair for a particular matter or event.
III. Media Inquiries
All media inquiries shall be directed to the CEO or their designee. Directors, employees, and volunteers who receive media inquiries shall not respond independently but shall promptly refer the inquiry to the CEO. This applies to all forms of media including print, broadcast, digital, and podcast.
IV. Social Media
Directors, employees, and volunteers may maintain personal social media accounts but shall not represent personal opinions as official positions of the Corporation. When discussing the Corporation or its programs on personal social media, individuals shall clearly identify that views expressed are their own. Individuals shall not disclose confidential information on social media. Individuals are encouraged to share official Corporation content and to amplify the Corporation’s mission in a positive manner. The CEO or their designee shall manage all official Corporation social media accounts.
V. Crisis Communications
In the event of a crisis or emergency requiring public communication, the CEO shall serve as the primary spokesperson. If the CEO is unavailable, the Board Chair shall serve as spokesperson. The CEO shall develop and maintain a crisis communication plan.
VI. PROVENIQ Brand and Platform References
All public references to the Pet Command ecosystem platforms (MAYDAY, ShelterOS, LifeLog, VetOS, Guardians, ACO-Mobile, SYSOP) shall use approved naming conventions. Public statements about platform capabilities, features, or availability shall be coordinated with the CEO to ensure accuracy. No individual shall make public commitments regarding platform features or timelines without CEO authorization.
VII. Legislative and Policy Advocacy
Public statements regarding the Corporation’s legislative initiatives (including the B.A.R.K. Act, FETCH Act, and related advocacy) shall be coordinated with the CEO. Directors may support legislative advocacy in their individual capacity but shall not represent that they speak for the Corporation unless specifically authorized.
VIII. Violations
Violations of this policy may result in corrective action up to and including termination or removal from the Board.
